Chapter 01
Organize and manage files
My Files is the primary workspace. The table can be searched and sorted, and each row exposes the actions currently available for that item.
Procedure 1.1
Create a folder
Add a folder at the current location before uploading or organizing content.
ForMember
Before you begin
Open My Files and navigate to the parent folder where the new folder belongs.
1
Select New folder
Use the + New folder button above the file table.
2
Enter the folder name
Use a meaningful name that follows your organization’s naming convention.
3
Select Create
You can also press Enter while the Name field is focused.
4
Confirm the folder appears
The current file table refreshes after creation.
Expected result
The new folder appears in the current location and can be opened from the Name column.
Procedure 1.2
Upload one or more files
Upload files into the current folder and monitor progress in the browser.
ForMember
Before you begin
Open the destination folder in My Files.
Confirm the file is allowed by your organization’s data-handling policy.
Confirm each file is no larger than the current 100 MiB encrypted-upload limit.
1
Choose the destination
Use the breadcrumb path to confirm you are in the intended folder.
2
Start the upload
Select Upload and choose files, or drag files anywhere onto the My Files area.
3
Watch the progress indicator
Keep the page open while the file name, progress bar, and percentage are displayed.
4
Wait for the table to refresh
Stratis refreshes the current folder after all selected files finish processing.
5
Verify the result
Confirm the file name, size, and modified date before leaving the page.
Expected result
Every successful file appears in the selected folder with its recorded size and modified date.
Procedure 1.3
Upload a new version of an existing file
Preserve a file’s identity while adding another stored version.
ForMember
Before you begin
Locate the existing file in My Files.
Prepare the replacement with exactly the same filename, including capitalization and extension.
1
Open the existing file’s folder
Version matching occurs within the current folder.
2
Upload the replacement
Select Upload or drag the replacement into the page.
3
Keep the filename unchanged
An exact filename match causes Stratis to attach the upload to the existing file node.
4
Open Versions
Select the ↺ action on the file row after the upload completes.
5
Confirm the newest version
Check its version number, size, creation date, and checksum preview where available.
Expected result
The file remains one item in My Files and the Versions dialog shows a newly numbered version.
Procedure 1.4
Download, favorite, or inspect a file
Use the row actions to retrieve a file, keep it in Favorites, or inspect its stored history.
ForMember
1
Find the item
Search the table or sort the Name, Size, or Modified column.
2
Download when needed
Select the ⬇ action. The browser saves the current file using its Stratis filename.
3
Toggle Favorite
Select the star. A filled yellow star means the item is in Favorites.
4
Inspect Versions
For files, select ↺ to open the version table.
5
Verify sensitive downloads
Open the downloaded file only in an approved location and confirm it is the intended version.
Expected result
The selected action completes: the current file downloads, its favorite state changes, or its version history opens.
Chapter 02
Share files and folders
Stratis can record shares for a user, a team, or anyone holding a generated link. Always use the narrowest audience and permission suitable for the task.
Procedure 2.1
Create a share
Grant access to a user, team, or link recipient from the item’s Share dialog.
ForMemberContent owner
Before you begin
Confirm the recipient and the information classification.
Obtain the recipient’s directory user ID or team ID for a direct share.
Confirm that external link sharing is permitted before choosing Anyone with the link.
1
Open Share
In My Files, select the ⇄ action for the file or folder.
2
Choose Share with
Select A user, A team, or Anyone with the link.
3
Identify the recipient
For a user or team share, enter the directory user ID or team ID. Use an email address only where your organization confirms it maps to the account identifier.
4
Choose Permission
Select Can view, Can edit, or Can manage according to least privilege.
5
Select Add share
Wait for the Existing shares list to refresh.
6
Verify access
For a link share, copy the generated link and test it in a private browser window before distribution.
Expected result
A new record appears under Existing shares with the intended share type and permission.
Procedure 2.2
Review or revoke a share
Remove access as soon as the recipient or business purpose no longer requires it.
ForMemberShare owner
1
Open the item’s Share dialog
Select ⇄ from My Files.
2
Review Existing shares
Check the share type, recipient identifier, and permission badge.
3
Select Revoke
Use Revoke beside the exact share record that should be removed.
4
Confirm the list refreshes
The revoked record should disappear from Existing shares.
5
Notify the recipient when appropriate
Explain that access has ended if the share supported an active business process.
Expected result
The selected share no longer appears and its direct or link access is no longer valid.
Procedure 2.3
Download a file shared with you
Use Shared with me for direct user shares addressed to your account.
ForShare recipient
Before you begin
Sign in with the same directory account identifier used by the person who created the share.
1
Open Shared with me
Choose it from the Files navigation group.
2
Find the share
Search or sort the table by Name or Shared date.
3
Check the source and access
Review Shared by and the Access badge before retrieving the file.
4
Select Download
Use the ⬇ action at the end of the row.
5
Handle the downloaded copy
Store and dispose of it under the same policy as the source information.
Expected result
The current shared file downloads using the name shown in the table.
Chapter 03
Recover files and review storage
Moving an item to Trash is recoverable. Deleting it permanently is not recoverable from the current user interface.
Procedure 3.1
Restore an item or use permanent delete
Use Trash as the reversible stage before permanent deletion.
ForMember
Before you begin
Check whether the item is shared, subject to retention, or still required by another process.
1
Move an item to Trash
In My Files, select the 🗑 action for the correct row.
2
Open Trash
Use the Manage navigation group to review trashed items.
3
Restore when needed
Select ↩. Stratis restores the item and, for a folder, its trashed descendants.
4
Delete permanently only when authorized
Select ✕ only after confirming the item, retention requirement, and business approval.
5
Verify the result
Refresh My Files after restore, or confirm the item no longer appears in Trash after permanent deletion.
Expected result
A restored item returns to active storage, or a permanently deleted item is removed from Trash and cannot be restored in the web interface.
Procedure 3.2
Review storage usage
Understand how much storage the current workspace uses and which categories contribute to it.
ForMemberStratis administrator
1
Open Storage
Choose Storage from the Manage navigation group.
2
Review headline totals
Check Total used, Files, and Folders.
3
Review By category
Compare the size and file count for each detected category.
4
Investigate unexpected growth
Return to My Files and review recent uploads, duplicate names, and intentional versions.
5
Apply policy before cleanup
Use approved retention rules before trashing or permanently deleting content.
Expected result
You can account for current storage totals and identify categories that need review.
Chapter 04
Use optional AI features
AI features appear only when enabled for the tenant. Their output supports review and discovery; it does not replace human judgment or authorize file changes.
Procedure 4.1
Analyze an image for AI provenance
Run the optional C2PA, SynthID, and vision stages against a supported image.
ForMemberReviewer
Before you begin
Tenant AI and photo analysis are enabled.
The file is JPEG, PNG, WebP, GIF, TIFF, AVIF, HEIC, or HEIF and is within the configured analysis limit.
1
Locate the image
Open its folder in My Files.
2
Open AI analysis
Select the 🔍 action shown for supported images.
3
Run the analysis
Select Run analysis, or Re-analyse when a stored result already exists.
4
Review the overall result
Read the verdict label and confidence only after status is complete.
5
Inspect each evidence stage
Review C2PA / Content Credentials, SynthID watermark, and Vision heuristic statuses and detail.
6
Record the human conclusion
Use the result as evidence alongside source, context, and organizational review requirements.
Expected result
Stratis stores and displays a completed verdict with available evidence, or clearly identifies disabled, unavailable, or failed stages.
Procedure 4.2
Find information with Ask Stratis
Use natural-language questions to compose read-only views of your files, shares, favorites, and storage.
ForMember
Before you begin
Ask Stratis appears in navigation only when AI is enabled for the tenant.
1
Open Ask Stratis
Choose it from the Assistant navigation group.
2
Describe the information you need
For example: “what was shared with me recently” or “how much storage am I using”.
3
Review the generated view
Check names, dates, owners, permissions, and totals against the underlying workspace.
4
Refine the request
Add a date range, file type, owner, or business context when the result is too broad.
5
Perform changes in My Files
Return to the normal file interface for upload, sharing, trash, or other mutations.
Expected result
The assistant returns a read-only, composed view or a clear unavailable error without changing stored files.
Operating rules
Security and data handling
Use the correct tenant account; do not work around an access-denied result with another person’s session.
Classify content before upload and follow organizational restrictions on personal, regulated, confidential, and export-controlled information.
Grant the narrowest share audience and permission, then revoke access when the business purpose ends.
Treat generated link-share URLs as secrets and test them in a private browser before distribution.
Keep downloaded copies in approved storage and remove temporary local copies according to policy.
Review shared access and retention before moving content to Trash or deleting it permanently.
Treat AI analysis and assistant output as supporting information that requires human verification.
Use Viaport instead when the task is a discrete zero-knowledge transfer rather than ongoing managed storage.
Current release
Known limitations
Read before relying on an unsupported workflow
These limits describe the source-pinned Stratis 2.0.0 scope and must be rechecked when the product changes.
The deployed encrypted upload path accepts files up to 100 MiB. Larger files are rejected until streaming encryption is available.
Rename and move operations exist in the service but are not exposed in the current My Files interface.
Version history is view-only in the current interface; downloading or restoring an older version is not exposed.
The Share dialog does not currently expose expiry or password controls, even though the service can represent them.
Shared with me currently lists direct user shares and provides a download action; it is not a complete collaborative editing workspace.
Permission values Can view, Can edit, and Can manage are recorded, but recipient edit/manage operations are not fully exposed in the current web interface.
Permanent deletion from Trash currently has no confirmation dialog.
Ask Stratis is read-only and cannot upload, move, share, restore, or delete files.
Image-analysis stages may be disabled or unavailable by tenant configuration or provider availability.
Problem solving
Troubleshooting
Access denied after sign-in
Likely cause: The account lacks a tenant assignment or the stratis_users group, or the session contains stale access information.
Confirm you signed in with the intended organizational account.
Sign out completely and sign in again once.
Ask an administrator to verify tenant assignment and stratis_users membership.
Contact support if access remains denied after the administrator confirms both values.
Upload initialization fails or returns 413
Likely cause: The file exceeds the current 100 MiB encrypted-upload limit or the request was rejected before transfer began.
Check the local file size.
Use a file no larger than 100 MiB, or split the material when policy permits.
Do not repeatedly retry an oversized file.
Contact support when the approved workflow requires a larger object.
Upload stops with a network error
Likely cause: The connection, browser tab, or authenticated session was interrupted during streaming.
Keep the Stratis tab open and confirm the network is stable.
Refresh My Files and check whether the item or version already appears.
If it does not appear, sign in again and retry once.
Record the filename, size, time, and exact error before contacting support.
An upload became a new version instead of a separate file
Likely cause: A file with the exact same name already existed in the destination folder.
Open Versions on the existing file and confirm the new version is present.
If a separate file was intended, upload again with a distinct filename.
Do not permanently delete the existing file until required versions have been verified.
A direct share does not appear for the recipient
Likely cause: The share was addressed to an email or identifier that does not match the recipient’s current directory user ID, or the share was revoked.
Open Existing shares and verify the share still exists.
Confirm the recipient’s directory user ID with your administrator.
Revoke the incorrect share and create a new user share with the verified identifier.
Ask the recipient to sign in with that same account and refresh Shared with me.
A generated link does not open
Likely cause: The link was copied incompletely, revoked, expired at the service level, or the current link route is unavailable.
Copy the complete link again from Existing shares.
Test it in a private browser window before sending it.
Revoke and recreate the share if the link is still invalid.
Use a direct user share when possible and contact support if link sharing remains required.
Ask Stratis or an image-analysis stage is unavailable
Likely cause: Tenant AI is disabled, an analysis provider is not configured, the file is unsupported or oversized, or an upstream service is unavailable.
Confirm the feature appears in the current tenant.
For image analysis, confirm the MIME type is supported and review the displayed stage status.
Retry once after a short interval when the error indicates an upstream failure.
Ask an administrator to verify tenant AI settings, then contact support with the exact error.
A permanently deleted item must be recovered
Likely cause: Delete permanently was selected in Trash; the current user interface has no undo operation.
Stop creating replacement content if preserving evidence is important.
Record the item name, former folder, deletion time, account, and business impact.
Contact support immediately to determine whether an infrastructure-level recovery path exists.
Do not assume recovery is possible.
